As a new school year begins, districts focus on fresh starts: students return, and families adjust to routines. One area often overlooked is what to do as staff move into new roles and how you keep your Relatrix admin users updated.

Keeping your list of administrators current is a simple but important step. It ensures your district stays on top of who and how staff and trusted community members engage with volunteers, partners, and families.

Best Practices for Managing Admins

  1. Remove Inactive Users. Delete staff no longer with your district, or simply remove their admin role. If you’re unsure and need to check your system admins against an external system, export your admin list to XLS so you can reference against other sources.
  2. Update Assigned Location. If someone transfers campuses, update their Registered Site so they see the right data.
  3. Use Work Email. When onboarding new staff make sure they register, or you add them with their work email address as their Username. This makes tracking them easier and makes using our optional Single Sign-On (SSO) functionality possible.
  4. Onboard carefully. New admins need a User account before you assign their admin role and site. You may also want to require them to view some of the training videos in the Relatrix Help Center. These can be useful for anyone who has no prior experience working with Relatrix.

Extra Admin Features

Beyond the basics, Relatrix offers functionality that gives you even more flexibility when it comes to managing your admin users.

  • Multiple role assignments. One user can be assigned different admin roles if their job is to manage multiple aspects of your Relatrix system. For example, you can assign someone as both an ezPartner and an ezVolunteer site admin.
  • Folder permissions. With content folders you can allow your school support organizations, like PTO and Boosters to serve as administrators. Aside from limiting their access to specific modules in your system, you can also limit them to viewing and creating content, like notices and opportunities, within a single folder.
  • System notifications. Depending on their assigned role, site admins can receive system notifications when things update at their school site. For example, Relatrix can send notifications about new volunteers and new partners at their school.
  • Targeted announcements. Announcements are a way to put messages or reminders in-front of your administrators when they sign-in. Whether you want to remind them about upcoming events in your district calendar, or make sure they know how to access specific resources, like shared documents, set up an announcement for that.

These features ensure admins see what they need, when they need it, without overwhelming them with unnecessary details. Keeping your admin list clean is about more than data management. It’s about empowering the right people, with the right tools, at the right time.
